Track A · AVS Signature Track

Operations & Dispatch Specialist

3 weeks · 12 lessons · The niche closest to AVS's founding clients — home services, field team coordination, and multi-technician operations management. Graduates of this track are first in line for dispatching and operations placements at AVS.

A1
Advanced Dispatching
Route optimization · Multi-tech coordination · Emergency protocols
Day 1 — Route optimization basics
How to build efficient daily routes: geography first, urgency second, time windows third. Tools: Google Maps, built-in CRM routing. The difference between a "sorted by address" schedule and an optimized route — and why it saves 45+ minutes per tech per day.
Task: Build a sample daily route for 3 technicians with 5 jobs each using Google Maps. Screenshot and compare your routes with the group.
Day 2 — Multi-technician coordination
Managing 3+ technicians simultaneously: status tracking, job handoffs, covering for late techs, real-time communication with the team and the customer. The "air traffic controller" mindset — everyone in the air at once, no collisions.
Task: Create a live tracking sheet for 5 technicians with status columns: Driving to Job / On Site / Job Complete / Available / Delayed. Fill with sample data.
Day 3 — Emergency and overflow protocols
When a technician no-shows, a job runs long, or a customer emergency arrives with a full schedule — what do you do? Step-by-step decision trees for the 5 most common dispatch crises. How to communicate delays to customers without losing the booking.
Task: Write a 5-step emergency protocol for the scenario: "Lead tech is sick. They have 4 jobs today. It is 7:30 AM." Present your protocol in the group.
Day 4 — Customer communication scripts for field ops
The exact language to use when: confirming a booking, communicating a delay, handling a cancellation, following up after a completed job. Scripts are not for reading verbatim — they're frameworks. Your voice, their clarity.
Task: Write 3 scripts: (1) Job confirmation text, (2) "Running 30 minutes late" notification, (3) Post-job follow-up. Post in the group.
A2
Home Services CRM Tools
Jobber · ServiceTitan concepts · FieldEdge basics
Day 1 — What home services CRMs do
How Jobber, ServiceTitan, and FieldEdge are structured: clients, jobs, invoices, schedules, technicians. The core workflow: quote → booking → dispatch → job complete → invoice sent → payment received. How every button in a CRM maps to a real-world action.
Task: Sign up for a free Jobber trial (14 days). Navigate the dashboard. Create one sample client with one sample job. Screenshot.
Day 2 — Job management and status tracking in CRM
Creating jobs, assigning technicians, adding job notes, attaching photos, updating status. How clients can track their jobs (and why this reduces inbound "is the tech on the way?" calls by 60%). The difference between a job note and a customer-visible note.
Task: In your Jobber trial — create a job with: a detailed internal note, a photo attachment, and a customer-visible update. Screenshot the completed job view.
Day 3 — Invoicing and payment tracking in CRM
Generating invoices from completed jobs, sending to customers, tracking payment status, handling overdue invoices. How payment reminders work. The connection between dispatch accuracy and invoice accuracy — jobs with wrong notes produce wrong invoices.
Task: Generate a sample invoice in Jobber for a completed job. Add a line item for parts and one for labor. Email it to yourself. Screenshot the sent invoice.
Day 4 — Reporting for home services businesses
The five reports every home services operator needs: jobs completed vs. scheduled (completion rate), average job value, revenue by technician, outstanding invoices (AR aging), and customer acquisition source. How to pull these, how to present them, and what to flag when numbers look off.
Task: Build a simple weekly ops report template in Google Sheets with the 5 key metrics. Fill in sample data. Share the link in the group.
A3
Operations Reporting & KPIs
Dashboards · Escalation frameworks · Advanced ops thinking
Day 1 — Building a daily ops dashboard
A good dashboard answers: How many jobs are scheduled today? How many are complete? Who is behind? What needs attention? Building this in Google Sheets — live-updateable, shareable with the client, readable in 30 seconds. The difference between a report and a dashboard.
Task: Build a live daily ops dashboard for a 5-tech team. Include: scheduled vs. completed jobs, tech status, revenue target vs. actual, flagged issues. Present to the group.
Day 2 — Escalation frameworks for operations
Level 1 (handle yourself): scheduling conflicts, routine delays, standard customer complaints. Level 2 (flag to supervisor): tech safety issues, significant property damage, repeat customer escalations. Level 3 (escalate immediately): legal threats, accidents, social media crises. Knowing the level before picking up the phone.
Task: Write your personal escalation decision tree for the first 90 days of a new ops role. Share it as a flowchart or structured list.
Day 3 — Track A graduation + AVS application
You've completed the Operations & Dispatch Specialist track. Your AVS application should now reflect this specialization — update your profile with the specific tools covered, the scenarios practiced, and your track completion. Operations Specialist placements start at $9/hr managed and $8/hr direct. You've earned the label.
Final Task: Update your AVS application with your Track A completion. Post your "Track A Complete" announcement in the Alpha Academy group. Help the next person who's on Day 1.
Day 4 — Bonus: Real-world scenario simulation
A full-day simulation: you receive a morning briefing, handle 3 dispatch crises, generate an afternoon report, and close out the day with a client update email. This is as close as training gets to the real thing. Peer-graded in the Facebook Group.
Simulation Task: The scenario brief is posted every Monday in the Alpha Academy Facebook Group. Complete all 4 parts and post your responses by Friday for group feedback.
