  1. Set up filters and labels in Gmail before your inbox gets busy — route newsletters and low-priority mail away from your main view automatically.
  2. Turn on "Undo Send" (Settings → General) — a 10-30 second window to catch mistakes before they're gone.
  3. Use Calendar's "Working hours" setting so clients booking time with you can't accidentally schedule outside your actual availability.
  4. Learn Sheets' basic formulas first: SUM, COUNTIF, and VLOOKUP cover most day-to-day reporting needs.
  5. Use "Version history" in Docs (File → Version history) instead of saving multiple file copies — cleaner, and nothing gets lost.
  6. Share files with "Comment" access by default, not "Edit," unless the person genuinely needs to change the document.
Tip: Set up a consistent naming convention for shared files from day one (e.g., "ClientName_DocType_Date") — it saves real time once you're juggling multiple clients.

  1. Start in the "Sub-Account" you're assigned — don't build in the agency-level account by mistake.
  2. Set up the Pipeline first (Opportunities → Pipelines) before building funnels — this is where every lead's stage gets tracked.
  3. Use "Snapshots" to import a pre-built funnel/automation template instead of building from scratch each time.
  4. Connect the calendar tool (Calendars → your calendar) before turning on any booking-related automation, or bookings will fail silently.
  5. Test every automation workflow with a dummy contact before activating it live — GHL automations can't easily be "undone" once they've fired.

  2. Set up the Chart of Accounts to match how the client actually thinks about their business, not the generic default categories.
  3. Use "Rules" (Banking → Rules) to auto-categorize recurring transactions — saves significant manual entry time monthly.
  4. Reconcile accounts monthly, not "whenever" — catching a discrepancy after 3 months is far harder than after 3 weeks.
  5. Never delete a transaction to "fix" an error — use a journal entry or reclassify, so there's a clean audit trail.
Tip: Run the "Uncategorized Income/Expenses" report weekly during your first month with a new client — it's the fastest way to catch setup issues early.

Calendly

Scheduling automation that shows up across almost every niche pack — showings, discovery calls, consultations.

  1. Learn the difference between a Project and a Task before building anything — a Project is the container, Tasks live inside it.
  2. Use "Sections" within a project to represent workflow stages (e.g., To Do → In Progress → Review → Done).
  3. Set a due date on every task you create — an undated task is functionally invisible in most views.
  4. Use "My Tasks" (your personal view) as your actual daily to-do list, not the project board directly.
  5. Turn on task dependencies for sequential work, so Task B can't start until Task A is genuinely marked complete.

  1. Understand the Trigger → Action structure first: one trigger, one or more actions, that's the whole model.
  2. Always test a Zap with real sample data before turning it on live — Zapier lets you test each step individually.
  3. Use Filters (not just triggers) to prevent a Zap from firing on data that doesn't actually meet your criteria.
  4. Check the Zap History tab when something "isn't working" — it shows exactly which run failed and why.
  5. Start simple (2-step Zaps) before building complex multi-step workflows — easier to debug when something breaks.
